Otto for recruiters
The candidate you forgot to email is the one who took the other offer. Otto keeps the thread, the interview and the nudge together.
You just approve.
The short version
- Draft the reply, then check names, dates and the sending account before it goes.
- Interview slots come back as a proposed event: attendees, time zone, account, all visible.
- Follow-ups sync to Google Tasks or Microsoft To Do, and nudge you when nobody replies.
- This is email, calendar and tasks. It is not an applicant tracking system.
Losing a candidate to a slow reply is the worst way to lose one
Forty live conversations, each with a different next step: a reply, a slot to offer, a reference to chase, a rejection you owe someone this week. None of it is hard. All of it is easy to drop.
Open a candidate thread and ask Otto for the reply you want to send. It reads the conversation and writes the draft. You check the parts that bite: the name, the date, the role, the sending account. Then you send it.
Interviews without the six-message dance
Ask for a time and Otto proposes the event on the connected calendar with the attendees filled in. You see the time zone, the date and the account before you approve it. That review takes four seconds and saves the apology email.
If the panel shifts, ask for the move. The proposal comes back the same way: visible, editable, yours to approve.
The follow-ups you actually promised
Every candidate thread leaves a small debt. Waiting on a take-home. Waiting on the hiring manager. Promised feedback by Friday.
Give it to a task and Otto syncs it to Google Tasks or Microsoft To Do for the account you selected, so it shows up wherever you already work. Ask to be reminded if nobody replies by Thursday and the thread comes back on Thursday. Snooze the ones that are genuinely not for today.
Where Work is enabled, you can also accept a source-linked commitment, assign its owner and see waiting work without treating every candidate message as a promise. Meeting preferences and an optional booking link can narrow the times you offer. A guest request still needs verification and an availability check before it is confirmed; Otto does not replace your hiring system.
Drafts that sound like you, not a careers page
Most recruiting email is the same six messages with different names in them, which is exactly why they end up sounding generic. Ask for the message you want and Otto writes it from the thread, then let it adjust the tone for that candidate. With memory on, the drafts come back in your voice rather than in the house style of a template. Saved snippets cover the lines you send verbatim, and a scheduled send lands the rejection at nine in the morning instead of at midnight.
Forty threads move at keyboard speed
Volume is the other half of this job. New mail is pushed to Otto by Gmail and Outlook rather than polled, so a candidate reply shows up as it arrives, and folder switches come off Otto’s up-to-date inbox list rather than a fresh request. Triage runs off the keyboard: J and K to move, one key to archive, star or reply, and ⌘/ for the cheat sheet. When a role closes, one bulk action can archive the whole search at once after you read its scope.
What this is not
Otto handles the email, calendar and task side of recruiting. It is not an applicant tracking system, it does not rank candidates and it does not sync to your hiring pipeline. If your day is lived in an ATS, Otto sits next to it rather than replacing it.

Questions, answered
What should I check before approving an interview invite?
The date, the time zone, the attendees and the sending account. They are all on the proposal card before you approve it.
Where do my follow-up tasks live?
In Google Tasks or Microsoft To Do, depending on the account you have selected, so they appear wherever you already track work.
Does Otto connect to my applicant tracking system?
No. Otto covers email, calendar and tasks. It does not integrate with an applicant tracking system or rank candidates.
