Plain definitions of 12 email and AI terms, from human approval and inbox triage to scheduled sends and mailbox metadata.

AI assistant
Software that interprets a request and helps produce an answer, a draft or a proposed action. Check what it can change and where you review the result.
Human approval
An explicit review step before a proposed action proceeds. Approval authorizes the work; the result tells you whether it completed.
Email triage
Deciding what a message needs next: a reply, a meeting, a task, a later review or removal from the inbox.
Inbox zero
An inbox with no messages left in its current view. It can mark a finished triage pass, but does not prove that the work behind those messages is complete.
Unified inbox
A view that brings messages from multiple accounts together. The accounts keep their own sending identities and provider settings.
Email thread
A group of related messages presented as one conversation. Read the relevant replies before relying on a summary or drafting an answer.
Archive
Remove a message from the inbox while keeping it in the mailbox. Archiving is different from deleting and does not answer a pending request.
Snooze
Hide a message from the inbox until a chosen time. Use it to decide when to revisit a conversation that does not need attention now.
Scheduled send
A message queued for a future sending time. Queued is a pending state; check the eventual result before treating the message as sent.
Follow-up
A later message or reminder that continues an earlier conversation. Decide what you are waiting for and when a further step is useful.
Email signature
A reusable block at the end of an email, often containing a name, role and contact details. Include only the details you intend to share with recipients.
Mailbox metadata
Information such as sender, recipients, subject, labels and dates used to organize a mailbox. Metadata can still contain personal information; it is different from the full message body.
