Todoist is a dedicated task manager, and Otto Mail is a mail app with tasks in it. Todoist gives you projects and filter views. Recurring tasks and team workspaces are in there too. Otto puts a task list next to your Gmail or Outlook inbox and calendar, and its assistant turns threads into tasks. The replies and meetings it prepares wait for your approval.
Otto is ours, so weigh our side. If you need a deeper task system, Todoist is the stronger tool and Otto isn't a replacement. If most of your tasks start in email, Otto is a Todoist alternative worth trying, and you don't have to give up Todoist to do it.
Where Todoist is stronger
Todoist's pricing page lists projects and filter views, a calendar layout and custom reminders. On Business there are shared team workspaces with roles and permissions. Its AI, Todoist Assist, covers task capture and email on Pro and Business. Otto's tasks are the lists in Google Tasks or Microsoft To Do for the selected account, so they're simpler, and there aren't any project boards.
Where Otto fits
Todoist lists integrations with Google Calendar and Outlook, and with Gmail. Otto removes the step between them. Ask it to extract the action items from a thread and they'll land in your task list, synced both ways with Google Tasks or Microsoft To Do. Promote a task to a calendar event when it needs a time. Replies and bookings come back as cards you'll approve first. See how Otto's assistant works.
Price and fit
Todoist has a free Beginner plan. Pro is $7 a month, or $5 a month billed yearly ($60 a year), and Business is $10 per user a month or $8 billed yearly. Otto Free covers one connected account with core mail plus calendar and tasks. Plus is $6.99 a month and Pro is $19.99/month. You could keep Todoist for projects and let Otto handle the inbox.
