Labels, saved views, filters and rules
FreeChoose the right way to organize mail, from a saved search to recurring cleanup.
These controls solve different problems:
- Labels and folders organize messages in the provider. Gmail labels can overlap; Outlook folders have different capabilities. Use controls available for that account.
- Smart views save a search or filter so you can return to the same messages. They do not move mail themselves.
- Provider filters run in the provider using its supported conditions and actions.
- Otto rules act on incoming mail within their selected mailbox. Review the account and any label before enabling a rule.
- Cleanups process an existing selection or query. Large changes use the bulk-action flow and show progress.
- Automations run scheduled work, such as a digest or recurring cleanup. Inspect Activity results and pause work you no longer need.
Use Settings → Automations to review rules and filters. Capacity and advanced controls depend on your plan. Explicit rules remain authoritative; learned memory must not silently replace them. See bulk actions and automations.
To reduce unwanted mail, use the message's unsubscribe action when a sender provides one, or its blocking/spam controls where supported. Unsubscribing requests a sender-side change; it is not immediate deletion of all existing messages.
